This Privacy Policy explains how Garnerbarro Pty Ltd ABN 17 655 805 413, operating the AeroBroker website and aircraft charter brokerage service, collects, holds, uses and discloses personal information.

In this policy, “AeroBroker”, “we”, “us” and “our” refer to Garnerbarro Pty Ltd in connection with the AeroBroker website, aircraft charter enquiries, aircraft sourcing, brokerage, booking support and related coordination services.

Our role: AeroBroker is an aircraft charter broker and coordination service. We are not an airline, aircraft operator or holder of an Air Operator’s Certificate. Any flight that proceeds is operated by an appropriately authorised third-party aircraft operator, subject to that operator’s acceptance, availability, operational requirements and terms.

1. Scope of this policy

This policy applies to personal information handled through aerobroker.com.au, online enquiry forms, email, telephone, SMS, quotation and booking communications, supplier communications, payment and accounting processes, and other interactions connected with AeroBroker’s services.

We handle personal information in accordance with applicable Australian privacy laws and, where they apply to us, the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. Personal information we may collect

The information we collect depends on the nature of the enquiry, requested service and stage of the charter process. It may include:

  • your name, organisation, position, business details and authority to make an enquiry or booking;
  • contact details such as telephone number, email address and postal or billing details;
  • route, airports or airstrips, dates, preferred times, itinerary, flexibility and purpose of travel;
  • passenger names, numbers, ages where relevant, contact details, weights and identification information requested by an operator or authority;
  • baggage quantities, dimensions and weights;
  • freight descriptions, dimensions, weights, values, handling requirements, collection and delivery details;
  • accessibility, mobility, dietary, medical, assistance, animal carriage or other special requirements that you choose or are required to provide;
  • invoice, payment, account and transaction information;
  • correspondence, form submissions, call notes, complaint records and other communications;
  • information provided by aircraft operators, airports, ground handlers, travel coordinators or other suppliers in connection with an enquiry or booking; and
  • website and technical information such as IP address, browser, device, referring page, cookies, analytics data and security logs.

3. Information about passengers and other people

A charter enquiry is often made by one person on behalf of passengers, employees, contractors, clients, guests, freight owners, recipients or another organisation. If you provide information about another person, you must be authorised to do so and should make them aware that their information may be handled in accordance with this policy.

Where a child is travelling, passenger information should be provided by, or with the authority of, a parent, guardian or responsible booking contact.

4. Sensitive information

We do not ordinarily seek sensitive information unless it is reasonably required for an enquiry, passenger assistance, safe carriage, operator assessment, legal compliance or an emergency. This may include health, medical, mobility, accessibility, dietary, security or identification information.

Where sensitive information is provided, we will use and disclose it only for the purpose for which it was provided, a directly related purpose reasonably expected in the circumstances, another purpose authorised by you, or as otherwise permitted or required by law.

5. How we collect information

We may also receive information from aircraft operators, aviation suppliers, corporate travel contacts, referral partners, payment providers, publicly available sources and technology providers. Where practical and appropriate, we collect personal information directly from the person concerned or their authorised representative.

6. Why we collect, use and hold personal information

We may use personal information to:

  • review and respond to aircraft charter enquiries;
  • prepare a charter brief and identify potentially suitable aircraft, operators, routes or airports;
  • seek pricing, availability and operational feedback from aircraft operators and suppliers;
  • compare and communicate charter options;
  • coordinate booking requirements, passenger information, baggage, freight, handling, catering, ground transport or other requested arrangements;
  • process payments, invoices, credits and refunds;
  • manage safety, security, insurance, legal, regulatory, complaint and dispute matters;
  • maintain business, accounting, audit and communication records;
  • protect our website, systems, customers and suppliers from misuse or fraud;
  • improve our website, enquiry process and customer service; and

We do not sell personal information.

7. Sharing information with aircraft operators and suppliers

Aircraft charter brokerage requires us to share relevant operational information with third parties. Depending on the enquiry or booking, recipients may include:

  • aircraft operators and other charter brokers or aviation support providers;
  • airports, aerodromes, fixed-base operators, ground handlers and security providers;
  • catering, transport, accommodation, tourism, freight, fuel and logistics suppliers;
  • payment processors, banks, accounting systems and debt-recovery providers;
  • website hosting, email, telecommunications, CRM, analytics, automation, data storage and IT support providers;
  • insurers, accountants, auditors, legal advisers and professional consultants; and

8. Confidentiality during quote sourcing

At the preliminary quotation stage, we may provide operators with route, timing, passenger numbers, baggage, freight and other operational requirements without identifying the customer or passengers where that information is not yet required.

Customer or passenger identity may need to be disclosed where an operator requires it to assess availability, conflicts, permits, airport access, security, flight planning or booking acceptance. If a charter progresses, we may disclose the information reasonably required to confirm and conduct the service.

9. Freight and dangerous goods information

If an enquiry involves freight, we may collect information about the goods, packaging, quantity, dimensions, weight, value, temperature control, origin, destination and handling requirements. You must accurately identify dangerous goods, restricted items, batteries, chemicals, medical items, biological material, weapons, high-value cargo, live animals and other goods requiring specialist assessment.

Relevant freight information may be shared with operators, freight providers, airports, handlers, security providers or authorities so that carriage can be assessed and conducted lawfully and safely.

10. Payments and financial information

Payments may be processed by banks, card processors, payment gateways or accounting platforms. Those providers may collect and process payment information under their own privacy terms. AeroBroker may receive transaction confirmations and limited payment details, but may not receive or retain complete card information where payment is processed directly by a third-party provider.

11. Cookies, analytics and digital tools

Our website may use cookies, analytics, security tools and similar technologies to operate forms, remember preferences, understand website use, measure enquiries, improve performance and protect against misuse. Information generated by these tools may include device, browser, IP address, approximate location, referring source and interaction data.

You can usually control cookies through your browser settings. Disabling cookies may affect some website functions.

We may use automated workflows to acknowledge, route, organise or prioritise enquiries. Aircraft suitability, operator acceptance and operational decisions remain subject to human review by AeroBroker and/or the relevant operator.

12. Direct marketing

Where permitted by law, we may use contact details to send relevant information about aircraft charter, private aviation, FIFO, freight or related services. You may opt out at any time by using an unsubscribe facility or contacting us. Opting out of marketing does not prevent us from sending communications about an active enquiry, booking, payment, safety, legal or administrative matter.

13. Overseas handling of information

Some operators, technology providers, cloud platforms, payment providers or other suppliers may store or process information outside Australia. The locations may vary depending on the provider and the service used. Where Australian privacy law requires us to take steps in relation to an overseas disclosure, we will take reasonable steps to ensure the information is handled appropriately.

14. Security and data breaches

We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Information may be held in email, cloud storage, website systems, enquiry tools, accounting systems, supplier records and archived business files.
